Prodent, established in 2009, is a leading automotive service provider in Dubai and part of the international DRS Group. We specialize in high-quality automotive solutions including paintless dent repair (PDR), smart repair, and premium detailing services.
With a strong focus on innovation, efficiency, and international quality standards, we serve both private clients and major automotive dealerships across the UAE.
Role Overview
We are looking for a highly organized and reliable Office Manager to support our daily operations and ensure smooth coordination across our team, external partners, and business locations.
This role is critical in maintaining structure, discipline, and efficiency within the organization. The ideal candidate is detail-oriented, proactive, and capable of managing multiple administrative and operational tasks with precision.
Key Responsibilities
Administrative & Financial Coordination
Coordinate with external accounting partner (Xero) to ensure accurate and timely bookkeeping
Prepare and organize invoices, receipts, and financial documentation
Track payments, follow up on outstanding invoices, and support basic reporting
HR & Visa Coordination
Track visa statuses, renewals, and employee documentation
Maintain employee records, contracts, and onboarding/offboarding processes
Coordinate with external PRO services for visa and government-related processes
Operations Support
Support scheduling and coordination of jobs across teams and locations
Act as central communication point between management, technicians, and sales
Ensure smooth daily operations across DIP and Al Mamzar locations
Office & Process Management
Maintain organized documentation and filing systems
Monitor attendance and basic employee discipline
Identify inefficiencies and help improve internal processes
Job requirements
3+ years experience in Office Management / Administration (UAE experience preferred)
Strong organizational skills
Experience working with accounting systems (Xero experience is a plus)
Understanding of UAE visa and labor processes is a strong advantage
Excellent communication skills in English (additional languages are a plus)
High level of reliability, structure, and attention to detail
Ability to work independently and take ownership of responsibilities
Preferred Profile
Experience in automotive, workshop, or service-based businesses
Comfortable working in a fast-paced, operational environment
Strong sense of accountability and problem-solving mindset
