DRS Automotive Solutions Japan K.K. is establishing a long-term presence in Japan as part of its global operations across Europe, North America, the Middle East, and Asia-Pacific.

We are seeking a Senior Office Manager to take full ownership of administrative and internal processes within the Japanese organization. This role is responsible for building and maintaining a structured, efficient, and scalable administrative foundation.

The position includes responsibility for finance coordination, contract management, and internal processes, while also driving the implementation of digital tools and modern workflows. A strong focus is placed on the use of technology and AI to improve efficiency and support the organization’s growth.

Key responsibilities include:

  • Full ownership of all administrative processes and internal operations

  • Coordination of finance-related activities, including invoicing, expenses, and external accounting

  • Preparation and management of contracts and documentation

  • Development, implementation, and optimization of internal processes and workflows

  • Management and implementation of digital tools (e.g. Microsoft 365, CRM, cloud systems)

  • Identification and application of AI-based solutions to automate and improve administrative tasks

  • Acting as a central coordination point between management, operations, and external partners

  • Ensuring structured communication and efficient information flow across the organization

Job requirements

  • 5–10+ years of professional experience in office management, business administration, or operations

  • Proven ability to manage and structure administrative processes

  • Experience with finance coordination, contracts, and internal documentation

  • Strong organizational skills with a high level of attention to detail

  • Ability to work independently and proactively in a developing organization

  • Strong digital affinity and experience with modern tools (e.g. Microsoft 365, cloud systems)

  • Interest in and willingness to actively use and develop expertise in AI tools and automation

  • Ability to identify inefficiencies and implement structured solutions

  • Experience in international or fast-paced environments is a plus

  • Japanese: Native

  • English: Business fluent
